Operational support for dealer insolvencies in the automotive sector
Services for automotive financiers, captives and banks providing dealer and inventory financing
Critical financing situations can arise even before a potential insolvency. When inventories cannot be clearly reconciled, vehicle movements need to be clarified, or keys and documents need to be assigned, financiers require a reliable view of the actual situation.
EXCON supports financiers in the operational management of complex dealer situations from collateral management to coordinated vehicle recovery and site clearance.
Keeping collateral risks in view before insolvency
Not every critical financing situation results in insolvency. Nevertheless, it may be advisable to review the inventory and collateral position at an early stage, for example in the event of recurring discrepancies, unexplained vehicle movements or an increased need for clarification within a financing exposure.
EXCON can carry out short-notice inventory checks and VIN-based actual-to-expected reconciliations. Depending on requirements, individual or multiple locations can be checked simultaneously, with optional verification of key and document status.
Key and document management
Structured management of vehicle keys and relevant documents creates transparency both in day-to-day dealership operations and in complex financing situations.
EXCON supports the recording, allocation, documentation and management of keys and vehicle documents. This provides a traceable record of which documents or keys are assigned to each vehicle and their current status.
These services can be used as an ongoing process or as part of a targeted inventory review.
Collateral management and vehicle recovery in the event of insolvency
Once inventories and responsibilities have been clarified, EXCON supports further operational implementation within the scope of the respective mandate. This may include the coordinated securing and return of vehicles, keys and documents, as well as the organisation of handovers, transportation and, where required, interim storage.
Potential services include:
- coordinated vehicle securing and recovery
- key and document management
- photographic documentation and condition assessment
- handover and custody documentation
- VIN-level status documentation
- coordination of transport and storage processes
- optional digital vehicle valuation
- optional remarketing through our partner network
Multi-site and cross-border cases can also be coordinated centrally.

Structured dealer site clearance
Clearing a dealership location often requires coordination between different stakeholders and operational requirements. Site clearance therefore requires an initial preparation and scheduling phase. In general we schedule at least 48 hours plus one overnight period for coordination, resource planning and operational preparation.
Within the scope of the respective mandate, EXCON coordinates operational alignment between the parties involved and supports structured planning and implementation on site. Once the framework conditions have been clarified, vehicle disposition, transport management, interim storage and further clearance-related measures can be coordinated.
Final digital inventory documentation, for example in the form of a digital closing inventory, can complement the process and provide transparency regarding the status of remaining assets.
Coordinated processes for all parties involved
Clear and coordinated procedures are particularly important in challenging situations. EXCON therefore places emphasis on transparent communication, defined points of contact and predictable operational processes on site.
Early coordination can help reduce unnecessary interruptions, duplicate work and additional strain during the process. At the same time, the parties involved receive traceable documentation of the current processing status and the measures carried out.

When can external support be useful?
External operational support in dealer insolvency cases can be particularly useful when reliable inventory information is required at short notice, multiple locations are affected, or additional resources are needed for inventory checks, coordination and operational implementation.
EXCON can take over individual process steps or centrally coordinate several phases of a case.
Can multiple financiers or locations be reviewed at the same time?
Larger dealer groups may involve several locations, financiers and vehicle inventories simultaneously. EXCON supports cross-location operational coordination within the scope of the respective agreed mandates.
Structured management creates transparency regarding the location and processing status assigned to each vehicle and which responsibilities have already been clarified.
Is traceable documentation available?
In complex dealer situations, the status and location of individual vehicles can change at short notice. Continuous documentation of inventory checks, handovers, transportation and custody reduces information gaps and provides traceability for all subsequent process steps through to the conclusion of the insolvency proceedings.
