Automated document handling
Efficiently extract structured data from documents and integrate it into systems
Many industries generate large volumes of documents every day, including invoices, contracts, vehicle registration documents, reports, and forms. Manual processing is time-consuming, ties up resources, and is prone to errors. Our solution enables automated document processing using OCR and LLM technologies.
Our solution for automated document handling helps companies read, classify, and process information from a wide variety of document types in a structured manner – completely digitally, scalable, and system-independent.

How the automated document process works
- Upload documents or receive them automatically: Following an appropriate training process, incoming documents – via email, upload, or interface – are collected and analyzed. No format specifications are necessary: PDF, Office files, images, or scans are all possible.
- Text recognition with OCR technology: The contents of the documents are read by OCR – regardless of layout or number of pages. From a few pages to 10 million pages or more: there are no limits.
- Content analysis with AI (LLM): The recognized content is checked by an AI model: What type of document is it? Which data is relevant? Which positions contain essential information? The LLM already knows many documents. It learns the specifics of the documents in your company in advance during comprehensive training.
- Plausibility check & data comparison: If necessary, an automated comparison with existing data is carried out – e.g., from claims files, contract databases, or audit histories.
- Structured transfer to target systems: The extracted and classified data is transferred to existing systems (DMS, ERP, CRM, or claims management systems) via an API interface.

What is OCR and LLM technology?
OCR (Optical Character Recognition)
OCR stands for “optical character recognition.” This technology recognizes text, numbers, and layout structures in scanned or digital documents (e.g., PDF, PNG, Word). This makes content from non-editable documents machine-readable.
LLM (Large Language Model)
An LLM is an AI-based language model that not only reads content, but also interprets it. It recognizes meanings, relationships, and categories, enabling automatic classification and context evaluation of information.
Typical areas of application for automated document processing
OCR document recognition and AI data analysis are suitable for all industries with regular document intake and high structural capture requirements. We have listed a few examples below:
- Insurance: Claims reports, expert opinions, invoices, benefit claims
- Banks and financiers: Financing documents, contracts, certificates, collateral
- Leasing and fleet companies: Vehicle registration documents, registration documents, test reports, return reports
- Logistics and trade: delivery documents, customs documents, transport documents
- Public authorities: Applications, notices, registration data, administrative forms, subsidy applications
Information security: Integration and data security
When it comes to automated data handling, the security of your information is our top priority. Processing is carried out in compliance with the GDPR and according to the highest security standards. Connection to existing infrastructures can be quickly implemented via interfaces.
